ByLaws

How Small Business Society operates, from meetings and dues to leadership and grievances.

Professions and Representation

Our group will always only have one individual per profession. Each member will only be allowed to represent one profession. If your profession ever changes you will need to reapply to the group through our application and onboarding process.

We believe our networking group will only be a benefit to its members if we are not competing against other networking groups. If you are a member of BNI, Master Networks, or another group that operates with a one-profession rule, you will not be allowed into this group — that would create a conflict of interest and unnecessary competition.

Meetings

The group meets on the first and third Friday of each month from 12:30 to 1:30 p.m. If we need to adjust meetings due to a holiday, this will be decided as a group. To respect everyone's time, our group holds to a strict one-hour meeting.

Attendance

Attendance is critical to the success of a high-functioning networking group. Consistent attendance creates the culture of valuing your partners' time and energy — key to building trust and mutual respect, and to growing everyone's businesses through referrals.

  • Attendance is acceptable in person or via the Zoom link.
  • Another individual outside the group may represent you at a meeting, expected to represent your business and not themselves.
  • Please let the leadership team know in advance if you can't attend or have someone represent you — no call, no shows will not be taken well.
  • After two missed meetings, the leadership team will discuss whether to continue the relationship, based on length of membership, referrals given, and whether it's a one-time or habitual issue.
  • The President will reach out to let you know the outcome of that discussion.
Visitors

Visitors are welcome to attend two meetings with no obligation. After that, anyone wishing to continue attending will need to go through the onboarding process to officially join.

New Members

If you wish to join as a new member, you'll follow our onboarding process:

Step 1: Sign a document stating you've read our bylaws and agree to abide by them.

Step 2: Pay your annual dues into the group's fund within the next two scheduled meetings.

Step 3: At your first meeting after being accepted, present yourself and your business — your chance to highlight who you are, what you do, and who your ideal client is, so we can help you grow.

Cost and Dues

A large fee shouldn't be required to participate in a networking group, nor should one be necessary to give someone "skin in the game." Still, there are minor costs to running this group. Every member contributes $50 cash per year, which pays for the website, social outings, and more.

The Community Coordinator collects and tracks the use of these funds and reports updates at each meeting. The $50 contribution is due for existing members by February 1st, aligned with the leadership transition, with a 30-day grace period and one 15-day warning after that. If payment isn't received by the next meeting following the warning, you'll be asked to leave until it's received.

For new members: joining between January 1 and June 30 pays the full $50; joining between July 1 and December 31 pays $25. The full $50 is due again each subsequent year.

Leadership Team

Our leadership structure includes a President, Secretary, Community Coordinator, and Technology Coordinator.

President: Leads meetings and keeps them on topic and on time; contacts any members we're parting ways with, and leads resolution of member grievances.

Secretary: Prepares the meeting agenda, sends meeting reminders and Zoom links, and updates the attendance tracker.

Community Coordinator: Manages group finances, collects annual dues, tracks fund usage, and sets up two social events each year.

Technology Coordinator: Manages the website and keeps contact data current, and sets the blogging schedule with reminders to keep the blog active.

Leadership Elections

We elect new leadership every year, with voting starting January 1st. A third party is selected by the group to tally votes, emailed to that approved third party. Final votes are tallied by the end of January, with the new leadership team starting February 1st.

Grievances

Any member with a grievance should contact the group President, who will investigate and bring it to the leadership team for resolution — expected within 30 days of submission.

Tracking Our Results

Attendance is recorded after each meeting by the Technology Coordinator. If you invite a guest who attends, it's your responsibility to mark yourself as having a guest. If you have a one-on-one with another member, each of you is responsible for making sure you receive credit. If you receive a referral, it's your responsibility to report it.

Blogging Expectations

Anyone in the group is free to use our website blog at any time. We keep an assigned schedule so each member knows when it's their turn to post — it's each member's responsibility to know their turn and contribute.

Updates to ByLaws

All updates are submitted in writing to the President and voted on at the next meeting. If 75% of the group approves, the bylaws update immediately.
